From Guest List to Final Seating Chart

  1. Paste or import the guest list, then finish any missing table assignments in Assignment Review.
  2. Check duplicate names and table-capacity warnings, choose the output, sorting, style, size, and orientation, then review the final layout.
  3. When every guest is assigned and the page fits, print the layout or choose Save as PDF from the print dialog. Export the cleaned CSV for your planner or venue.

By Table or Alphabetical?

A table-by-table Seating Chart is useful when guests already know their table area or when the number of tables is small. For larger receptions, Find Your Seat is easier to scan when sorted by last name, which is the default. Switch to first-name sorting when that matches your guest list or naming convention.

Printing and PDF Export

The tool recommends larger poster sizes as the guest count grows, supports portrait and landscape layouts, and checks for clipped content before export. Export PDF opens the browser print dialog with the selected page dimensions; choose Save as PDF. For dark designs, keep background graphics enabled so the preview and PDF match.

Import and spreadsheet formats

Paste directly from Excel or Google Sheets, or import CSV/TXT. The parser supports commas, semicolons, tabs, pipes, UTF-8 BOM files, quoted fields, embedded commas, and common headers such as Guest Name, First Name, Last Name, Table, Party, Group, Household, Notes, and Sort Name. Guest Name plus Table is the simplest format; a missing table is kept as an unassigned guest instead of being deleted.

Planning limits

This tool formats and checks the seating assignments you provide. It does not create a venue floor plan, choose individual physical seats, infer social compatibility, or automatically decide accessibility placement, family relationships, or meal logistics. The table-capacity warning is off by default because venues and table shapes vary; set it to your venue’s actual per-table limit when useful.

Privacy and local processing

Your guest list is processed in this browser tab. Imported files are read locally and are not uploaded. Group and note fields are planning data; notes are never printed on guest-facing layouts. Unsaved data disappears when the page is refreshed or closed.
